FORMATIVE  EVALUATION

We conducted a formative evaluation study with 3 users - all students. We used Wizard of Oz prototypes, a technique in which users interact with a system which is operated by a wizard, thinking the system is actually processing the user responses. Before the beginning of each task, the facilitator explains the task. Once the user is clear with what he/she must do, he/she is presented with the paper models of the interface by the Wizard. A sheet with all the tasks and their short descriptions is provided to the evaluator. Evaluators can refer to it in case they’re unable to remember any of the told details.

Some aggregated conclusions from the observations of formative evaluations are as below:

  • Providing help/suggestion texts on hover is needed to identify the purpose of some functions such as a “Meeting ID” or “Later” button on start meeting page.

  • Not to ask for a schedule if the user wants the meeting to start now.

  • The design/flow to finish current topic needs refining.

  • Once user confirms addition of a newly detected topic from human conversation, it needs to  be set as the current topic as the topic is actually under discussion. It did not reflect in the Wizard of Oz prototype.

  • All evaluators complemented the UI to be simple and intuitive.

SUMMATIVE EVALUATION

We asked users to perform three tasks on Xpresso. It was a limited study under controlled environment. We measured time taken by the user to complete the task, success on task and the errors that occurred during the execution of the task.

  • Task 1: Login into the system & Set Agenda including Date, Time, Topics to be discussed, etc.

    • Time: 47sec

    • User was comfortably able to do the task

  • Task 2:  Join existing meeting using the meeting ID created earlier and shared with everyone

    • Time: 19sec

    • User was able to relate the flow with other commonly used meeting applications and could easily follow the task

  • Task 3: Explore the search screens and move the topic from undiscussed topics to discussed topics.

    • Time: 33sec

    • Error: 1

The user was not able to identify how to move the topic to Discussed Topics initially. But finally, was able to find the correct steps.

Our team gathered requirements using an online survey. The survey form was created using Google Forms(posted on various groups: UIC students with work experience and corporate employees). We received a total of 73 responses.

OVERVIEW

“Xpresso - Meeting Assistant” is an audio and visual system that helps human in hosting meetings to improve productivity. The user should install the software and set up the audio and visual devices generally already available in corporate world. The users are provided with facilities like displaying the overall status that include topic discussed/undiscussed, progress of the meeting, timer, context based search on voice inputs and summary of the meeting at the end.

FUNCTIONAL REQUIREMENTS

  • The software should help user(host) to set agenda, time allotted and measure progress made.

  • The software should help users to give context based search on the topic going on in meeting by recognizing the voice input.

  • The software should help user to interact with the main screen and help them to further consider the context based result data in detail.

  • The software should recognize the voice input and further jot down any new point that is discussed and cluster the same points together.

  • The software should determine the participation/contribution for each user in the meeting

  • The software should help the user to summarize the meeting points as: Discussed and To be taken up later.
